A manufacturing firm of medical patient positioningproducts in Avondale, Pa. is seeking an Office Assistant. The Office Assistant will handle greeting visitors, ordering of supplies, basic record keeping, some basic accounting responsibilities, composing routine correspondence and creating reports. They will be responsible for handling incoming and outgoing company mail. They will use computer applications for word processing, spreadsheets, and databases. Other skills typically include use of the telephone system, and the internet. They must use independent judgment in decision-making and solve problems with minimal supervision. Must be willing to submit to drug screening. This is a full time (40 hr.) position that includes a benefit package. Occasional overtime is required. ESSENTIAL DUTIES AND RESPONSIBILITIES
• Answer incoming calls to the company
• Greet Visitors
• Run routine, local errands i.e. post office, order and retrieve special lunches, etc.
• Do daily, weekly, monthly filing for A/P, A/R and G.L.
• 3-way matching for A/P -- P.O., Receiver to Invoice.
• Assemble human resources packets and "new hire" information.
• Assist with A/R invoice and A/P mailings, stuffing envelopes.
• Coordinate with Purchasing to maintain office supply levels.
• Assist bookkeepers as needed in their daily, weekly, and monthly functions, e.g., payroll hour verification with production staff.
• Assist Purchasing in routine ordering functions, e.g., obtaining order confirmations and PO status from vendors.
• Assist bookkeeping/accounting with basic clerical functions as requested.
• Assist other departments with clerical tasks as deemed appropriate by supervisor.
Qualifications to be successful in this position:
-Very strong written and verbal communication skills
-Strong work ethic, and ability to effectively multi-task in a fast-paced environment
-Ability to lift up to 25 pounds and move boxes.
-Regular and predictable attendance is an essential function of this position
-Previous experience in clerical functions desirable.
Education and/or Experience:
• Excel, Word, MS office
• General Data Entry
• High School Diploma required; AA degree a plus.
• 1-3 years of practical work experience.
